The challenge

Despacho Juridico Atlantico is a 28-lawyer firm based in Santa Cruz de Tenerife, specializing in insolvency law, commercial law, and debt recovery. Their operational volume is high: they manage an average of 400 active case files simultaneously, with peaks of 600 during busier periods.

The nature of legal work in insolvency and debt recovery is documentation-intensive. Each case file generates dozens of documents throughout its lifecycle: claims, court filings, insolvency administration reports, credit communications, settlement proposals, liquidations, and a long list of others. Many of these documents follow repetitive patterns: the structure is always the same, the legal foundations are similar, and what changes are the specific case data.

However, lawyers produced each document from scratch or, in the best case, by copying and modifying a previous document. This process was slow (a typical claim took 2-3 hours to prepare), error-prone (wrong client data, references to previous files that weren’t updated, arithmetic errors in debt calculations), and frustrating for qualified professionals who felt their time was wasted on mechanical tasks.

Document errors had real consequences. A filing with the wrong case number could be rejected. An incorrect interest calculation could harm the client. A credit communication with erroneous data could compromise the creditor’s position. The firm dedicated significant effort to quality review that, in many cases, simply verified that data had been copied correctly.

The solution

The Blueprint revealed that 80% of documents the firm produced followed one of 35 identifiable document patterns. They weren’t identical documents, but documents with a predictable structure and well-defined variable fields.

The solution was not a standard product. It was custom development designed for the particularities of the firm’s legal work:

Integration connected the firm’s case management system, the justice administration registry (LexNET), case law databases, and the accounting system. Information for each case file, each procedural party, each debt, and each judicial action was unified in a single data source. When a court issues a resolution through LexNET, the system automatically incorporates it into the case file and updates procedural deadlines.

Orchestration automated document production. For each of the 35 document patterns, an intelligent template was designed that extracts case file data, applies the corresponding legal structure, automatically calculates amounts, interest, and deadlines, and generates a draft ready for review by the responsible lawyer. The lawyer reviews the legal content (which is their real value-add) instead of wasting time verifying that names are spelled correctly and numbers add up.

Control provided the automatic quality layer. Before any document leaves the system, it passes through automatic validations: do the case file data match the header? Are the arithmetic calculations correct? Have procedural deadlines been calculated properly? Are any signatures or references missing? Errors are caught before human review, not after submission to the court.

The results

80% of the firm’s documents are now generated automatically. Lawyers receive complete drafts that only need legal content review. A claim that took 2-3 hours to prepare is generated in 3 minutes and reviewed in 15.

Time per case file was reduced by 70%. Not just from document generation, but from eliminating associated administrative tasks: searching for data in the management system, verifying deadlines, calculating amounts, copying data between documents.

In the last 6 months of operation, the firm has had zero document errors resulting in rejection or procedural harm. Automatic validation catches 100% of data errors. Lawyers focus on legal judgment errors, which are the ones that truly require their expertise.
